Junior Event Coordinator

The American University in Bulgaria (AUBG) is seeking to hire a Junior Events Coordinator. who can help make university, special and external events consistently efficient, cost-effective, and memorable. The ideal candidate will be able to evaluate and negotiate with vendors, collaborate with the University & Special Event Manager as well as Manager of External Events in drafting service contracts, and manage communications with attendees, speakers, and client stakeholders. Above all, the Junior Event Coordinator must be comfortable in a role that demands a creative, business-driven mindset and lasting relationships with vendors.

Key Responsibilities:

  • Researches vendors and make selections based on their creativity, quality, and cost.
  • Schedules guests, draft and finalize contracts, and lock down day-of logistics.
  • Monitors the university`s booking system ensuring timely reservations preventing scheduling conflicts and overlaps.
  • Handles day-to-day administration of events and programs, including order placements, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution and other as assigned by office management
  • Coordinates the maintenance of files and archives (video, audio, photo, electronic, hard-copy) of Conferences and Events office’s activities and provides reports for them when necessary thus facilitating the smooth post-event data analysis procedure.
  • Assists in the detailed preparation and provides logistical support for various university, special, external events and summer programs.

Requirements and Desired Qualifications:

  • Bachelor’s degree (or equivalent), required.
  • Both English and Bulgarian proficiency, required.
  • Computer operations and MS Office literacy, required.
  • Excellent organizational, communication, negotiating, and multitasking skills, required.
  • Ability to remain calm under pressure and maintain a customer-service mindset, required.
  • Previous experience with office and administrative work, required.
  • Experience in event planning or event coordination, desired.
  • Financial literacy, desired.
