Assistant Registrar

The American University in Bulgaria (AUBG) is seeking an Assistant Registrar. The Assistant Registrar at the AUBG supports the University Registrar in managing the day-to-day operations of the Registrar’s Office. This role includes maintaining student records, managing course scheduling, ensuring compliance with academic policies, and providing exceptional service to students, faculty, and staff. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work effectively in a dynamic academic environment.

Key Responsibilities:

  • Maintain accurate student academic records, including new student records, student enrollment status, course registration, name updates (documenting changes as needed), matriculation and graduation.
  • Process student enrollment, transcript and degree verification requests.
  • Provide and communicate information from the Registrars’ Office to appropriate individuals and groups as required/ requested.
  • Responsible for final exam schedule building.
  • Assist with registration of students from graduate programs. Assist in maintaining their course schedule, students’ files and grades processing.
  • Print, distribute and collect signed grade rosters.
  • Process course approval requests of outgoing exchange students.
  • Maintain student grade books.
  • Collect and process requests for leave of absence and withdrawal from the University.
  • Responsible for maintaining and archiving of student electronic files.
  • Collect and process state exam and European diploma supplement applications, and other documents related to graduation.
  • Assist in the degree verification process and commencement preparation.
  • Assist in the preparation of Bulgarian diplomas and European diploma supplements.
  • Scan and distribute Bulgarian diplomas and European diploma supplements.
  • Oversee hiring, supervising, and training of all student assistants.
  • Manage office inventory and purchase orders.
  • Compose replies to routine correspondence.
  • Serve as the customer service representative for the Registrar’s Office. Deliver an outstanding customer service to all visitors, students and staff, taking into account the requirements of relevant legislation such as FERPA and GDPR, answer phones and inquiries from faculty, students, parents, and staff.

Requirements and Desired Qualifications:

  • Bachelor’s degree in a relevant field required; Master’s degree preferred.
  • Proficiency in Microsoft Office Suite and other relevant software required.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively in a team environment.
  • Attention to detail and a high degree of accuracy in work.
  • Experience with office software applications preferred.
  • Familiarity with academic policies, FERPA regulations, and accreditation standards preferred.
