Development Assistant

The American University in Bulgaria (AUBG) is seeking to hire a Development Assistant who will provide comprehensive administrative support to the Senior Vice-President (SVP) and the Development Office. This role includes organizing meetings, maintaining schedules, managing correspondence, and assisting with various administrative and operational tasks to ensure the smooth functioning of the Development Office.

Key Responsibilities:

Meeting Coordination:

  • Organize and schedule both virtual and in-person meetings for the SVP and Development Office team.
  • Coordinate meeting logistics, including preparation of agendas and distribution of meeting materials.

Calendar Management:

  • Maintain and manage the SVP’s calendar, including scheduling appointments, meetings, and travel arrangements.
  • Ensure accurate and timely updates to the calendar.

Correspondence:

  • Draft, prepare, and edit correspondence on behalf of the Development Office.
  • Ensure all communication is professionally written and error-free.

Meeting Documentation:

  • Attend meetings, including those of the development team, and take detailed notes.
  • Prepare and distribute meeting agendas, minutes, and follow-up actions.

Budget and Supplies Management:

  • Assist in the development and management of the Development Office budget.
  • Procure and manage office supplies, ensuring efficient and cost-effective purchasing.

Expense Processing:

  • Process and track expenses and payments for the Development Office, including payment requests and purchase expense reports.
  • Ensure compliance with organizational policies and procedures.

Communication Management:

  • Will work closely with the Office of the President for smooth coordination of appointments and events.
  • Address and redirect incoming inquiries and communications to the appropriate office or person.
  • Distribute relevant communication from the Development Office to appropriate departments.

Event and Project Support:

  • Provide logistical and general support for organizing high-level visits, events, and special projects.
  • Assist with the coordination of events, including those occurring outside regular working hours.

Administrative Support:

  • Perform various administrative tasks related to institutional projects and initiatives.
  • Maintain effective systems for tracking and managing project deliverables.

Database and Operations Assistance:

  • Support the Development Office with database management (Blackbaud’s Raiser’s Edge) and operational tasks.
  • Ensure accurate data entry and maintenance.

Accreditation Support:

  • Assist the Alumni Relations Office with tracking and submitting information for US (NECHE) and Bulgarian accreditation agencies.
  • Ensure timely and accurate submission of required documentation.

Professional Development:

  • Participate in ongoing professional development opportunities to enhance skills and knowledge relevant to the role.

Other Duties:

  • Perform additional duties as assigned by the Senior Vice-President of Development.

Requirements and Desired Qualifications:

  • Bachelor’s degree required.
  • Minimum of 3-5 years of administrative experience, preferably in a similar role or within a development or non-profit environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with virtual meeting platforms.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills, both English and Bulgarian.
  • Ability to handle confidential information with discretion.
  • Proficiency in Blackbaud’s Raiser’s Edge or similar database systems is a plus.
